The main duty of the office administrator is to ensure the smooth running of office administration within Duncan Young and Co reporting directly to the management (with Liz Brown being the first contact)
The responsibilities for overseeing administration will include the following but having team members to support in this role:
- Smooth running of reception, incoming calls and looking after clients and visitors to the office
- Ensuring public rooms are kept tidy at all times
- Ensuring the recording of staff locations, meetings, absences are kept up to date.
- Ensuring that the audio typing, post office matters, petty cash etc are up to date at all times;
- Overseeing the firms’ stationery, printing and office equipment requirements
- Overseeing long term storage of files and firms filing procedures are maintained;
- Assisting the directors as required
Specific administration duties include:
- Maintaining the company’s’ Practice Management database;
- Responsible for liasing with cleaners and reporting problems to the partners;
- Responsible for design, development and policing of administrative systems;
- Assist the manager with Health & Safety issues;
- To carry out other administration duties that may be required from time to time.
Book-keeping work will include:
- Recording income and maintaining the company’s debtors ledger
- Preparation of VAT returns for clients
- Maintaining purchase, sales and nominal ledgers for clients as required
- Bank reconciliations for clients are required
- Preparation of monthly or quarterly management accounts for clients;
- Assisting with the maintenance of payrolls for clients, if required

| Requirements: |
Applicants should have good communication skills, common sense, a working knowledge of Word, Excel, computerised and manual book-keeping skills. The successful candidate must have a positive attitude and be able to work as part of a team. |
